The UWMC Digestive Health Center (DHC) has an outstanding opportunity for a Patient Care Coordinator Supervisor (Full-Time, Day Shifts) . This position is an integral part of the DHC leadership team providing excellent service to patients, families, referring providers, and each other.

Under general direction from the DHC Clinic Manager, the Patient Care Coordinator (PCC) Supervisor will supervise Patient Care Coordinators, and other assigned staff within the Digestive Health Center. This position supports the clinic operations teams in coordinating patient services such as scheduling surgeries, managing OR block time, scheduling anesthesia or pre-anesthesia work ups, as well as coordinating pre and post diagnostic procedure consultation requests, arranging diagnostic tests, scheduling endoscopic procedures and services of other hospital departments to facilitate exceptional delivery of care. The PCC Supervisor supervises discharge activities, appointment scheduling, referral process work, and collection and coordination of medical records. The PCC Supervisor also identifies and helps resolve staff and operational issues for the DHC.

The PCC Supervisor will supervise all aspects of inpatient and outpatient procedure scheduling, EPIC referral management/standards, and patient flow.

The DHC is a fast paced and high volume academic, research and patient care setting which requires a strong emphasis on accuracy, collaboration, teamwork, and problem solving abilities. Must possess availability to work any day during work week Monday through Friday and ability to work in the Digestive Health Center.

RESPONSIBILITIES:

Leadership: Supervise Patient Care Coordinators, and/or other assigned staff at the Digestive Health Center and to direct clerical functions of a DHC patient care population.
Interview and hire candidates using DHC and UW Medicine hiring process.
Develop and implement standards of performance, expectations and assignments.
Maintain provider and resource templates in EPIC.
Be a super-user/expert trainer for endoscopy procedure documentation software.
Direct and schedule staff according to DHC needs and communicate such to manager.
Evaluate and actively solve problems.
Demonstrate ability to identify learning needs of staff, plan and conduct training of new employees, and complete in-service education for staff.
Act as a resource person and role model to staff.
Provide feedback on job performance to Patient Care Coordinator and/or other assigned staff and keeps manager apprised.
Conduct annual performance reviews and recommend disciplinary actions.
Develop, review, and maintain policies and procedures directly related to the role of the Patient Care Coordinator in the DHC.

Procedure Scheduling / Appointment Scheduling: ability to schedule appointments, register patients, verify insurance coverage, and perform the work of a Patient Care Coordinator for the DHC patient population.
Schedule appointments and procedures consistent with patient needs and clinic scheduling guidelines.
Coordinate and schedule ancillary appointments such as laboratory, radiology, nuclear medicine and consultations to other specialties specific to patient population.
Schedule surgeries by following standard practice: Entering EPIC Pre-admit, entering case in PHS and providing financial clearance/authorization when required. Initiates Electronic Yellow Packet for all procedural cases requiring anesthesia per protocol.
Schedule interpreter services as needed based on service-specific criteria.
Utilizing established procedures, respond to patient care, facility, and environmental emergencies.

Telephone Support: Triage telephone calls using assessment skills based on written guidelines for DHC patient population.
Using written guidelines, make telephone assessment of patients medical status from the referring physicians and the community; assess social and financial situation of patients.
Triage patient telephone calls to nurse or nurse team; obtain necessary information for the return call; initiate emergency procedure when necessary.

Referrals/Consultations: Process and track referrals and consultations.
Verify patient insurance status to confirm that a valid referral is in place when indicated.
Competently utilize Epic Referrals to create, edit, link, and close online referrals to efficiently and effectively document appointment referral activity; assures all components of referrals are completed appropriately.
Obtain authorization when appropriate.
Supervise the team for referral process coordination.
Triage requests and communicate to referring physicians the outcome of treatment recommendations.

Other duties:
May develop and implement formal in-service education for department Patient Care Coordinator and Patient Services Specialist staff
Be an expert trainer for new and existing Patient Care Coordinators
Complete annual respiratory fit test, TB test, influenza vaccination, and any other vaccination required by Employee Health.
Resolve patient complaints. Document or report on patient complaints DHC policies/procedures.
As a front-line supervisor; act as a resource for DHC physicians and residents on clinical and non-clinical services.
Complete pre-anesthesia packets and schedule pre-anesthesia visits.
Perform related duties as required. REQUIREMENTS: Bachelor's Degree in a medically related or public relations field AND two years of experience as a Patient Care Coordinator OR Equivalent education/experience.
